How to automatically delete Records

Generally speaking, deleting records from Airtable automatically is not recommended. Instead, we suggest you archive records instead using a checkbox or single select field and then filter out those archived records from your views. This way, data can still be restored in the future.

If your use case requires automatic deletion of records, you can use our Auto delete Records on Airtable automation. This automation can delete records using Airtable views, and/or custom conditions.

Automatic deletion is always risky, so please test this on a copy of your table first, and make sure to set the filter correctly to avoid deleting anything you meant to keep!

How to set this up

  1. Create the automation from the Create Extension page in the correct base.

  2. Select the correct table. This can be changed later so please confirm with a copy of your table first!

  3. Under Delete Records if conditions are met, set the appropriate conditions to identify records that need to be deleted. If no conditions are set, the automation will delete ALL records from the table (or view, if set in the next step).

  4. Under the Run tab, set the view for filtering. The automation will only delete records from this view, and only those that meet the conditions set in step 3.

  5. You can now run this automation manually, or have it run automatically.
