How to compress PDFs in Airtable

You can use our 'Compress PDFs' automation to shrink PDFs in your base. Simply select the source and target attachment fields and the compression level (minimum, medium, maximum).

The effectiveness of the compression depends on the content of the file, so some files will compress better than others.

Set up the automation

  1. Create the Compress PDFs automation, then select your Airtable base and table.

  2. Prepare two attachment fields in Airtable: one containing your original PDFs and a different one for the results.

  3. Set PDF Attachments Field to your originals and Compressed PDF Field to the result field.

  4. Choose Compression Quality: Maximum compression, Medium compression or Minimum compression. Medium is the default.

  5. Limit the run to a view containing one or two sample records, then run the automation. Compare the output file size with the original and open the PDF to check it before processing the rest. Compression does not guarantee a smaller file.

Before processing more records, review the existing-data handling setting, especially if your output field already contains files.
